Protecting your school data: backups and security basics

A lost or leaked database is a crisis. A few habits — regular backups, access control, encryption — prevent almost all of them.

Your school’s database holds years of attendance, grades, payments and personal details. Losing it to a failed disk — or leaking it — is one of the worst things that can happen. The good news: basic discipline prevents nearly every disaster.

Back up regularly, in more than one place

A backup that sits on the same machine as the data protects you from almost nothing. Follow the 3-2-1 idea: at least three copies, on two kinds of storage, with one off-site (the cloud counts). Automate it so it happens without anyone remembering.

Test that backups actually restore

A backup you have never restored is a hope, not a safety net. Periodically restore a copy to a test location and confirm the data is intact and complete.

Control who can access what

Not everyone needs everything. Give each role the minimum access it needs, use strong individual logins (not shared passwords), and remove access when someone leaves.

Encrypt sensitive data

Attendance and especially biometric/payment data should be encrypted — at rest on disk and in transit over the network. If a device is stolen or a line is sniffed, encrypted data is useless to the thief.

Keep an audit trail

Log who changed what and when. If a record is questioned months later, the trail answers it — and it deters misuse.

Plan for the worst

Write down, in one page, what to do if the main server dies: where the latest backup is, how to restore it, who to call. The time to figure this out is not during the emergency.

None of this is expensive or complicated. It is mostly habit — and it turns a potential catastrophe into a minor inconvenience.
